The Awards, Scholarship & Volunteer Coordinator supports the staff division liaisons, leads and coordinates monthly meetings, manages the awards and scholarship programs and other projects associated with the divisions.
Divisions (applies to Coal & Energy, Environmental, Industrial Minerals & Aggregates, Mineral & Metallurgical Processing, Health and Safety and Mining Exploration Divisions only):
Support all division committees.
Coordinate agendas and materials for Annual Conference & Expo and midyear conference.
Coordinate VIP seating/registrations for division luncheons.
Write scripts and create PowerPoint presentations for Division luncheons.
Support silent auctions for divisions (ENV, IM&AD, M&E, C&E, and WAAIME).
Support table sponsors for divisions (C&E and M&E).
Coordinate MPD calendar invoicing, materials, and print production with SME graphic artist.
Obtain photos/bios of incoming division executive committee members for publication in Mining Engineering.
Coordinate award nomination and selection processes, working with all award committees to select recipients for 41 awards.
Compile list of selected recipients for SME Board approval.
Notify recipients and coordinate their attendance at SME Annual Conference & Expo functions (VIP registration/seating).
Write script and program and create PowerPoint presentations for annual dinner.
Order, proofread and pack all necessary awards.
Review vendor invoices and submit for payment.
Request checks as needed for awards that carry a monetary prize.
Unpack awards and prepare them for presentation during SME Annual Conference & Expo.
Coordinate VIP photo shoot prior to Annual Awards Banquet and provide photos to recipients when available.
Coordinate scholarship application and selection processes and work with committees to select recipients for 15 scholarships.
Notify recipients and coordinate their attendance at the SME Annual Conference & Expo functions (VIP registration/seating).
Notify unsuccessful applicants.
Request checks and send to department heads.
Prepare certificates of recognition for presentation at the SME Annual Conference & Expo.
Add new scholarships/make updates to online scholarship portal as needed.
Bachelor’s degree or equivalent combination of education and work experience.
Two to four years of association experience.
Strong and clear communication skills, both written and verbal.
Ability to work autonomously with little direction.
Ability to work with members, staff and management.
Excellent computer skills, specifically MS Office products (Excel, Word, PowerPoint) and donor management software.
Strong attention to detail and accuracy, the ability to prioritize and organize multiple projects, meet deadlines, solve problems and multi-task.
Essential to have intellectual curiosity and a strong interest in the SME’s mission.
