B&W Energy Services is searching for an Operations Administrator to join the team to perform general administrative work including but not limited to expense report management, database management, making travel arrangements, scheduling external training and pre-employment screening and more.

Primary duties include:

• Expanded travel arrangements responsibility.
• Operations administrative work including; inventory database management, equipment file management, fixed asset file management, maintenance file management.
• Process American express and expense reports for approval and payment for the operations employees.
• Assist with obtaining travel visas for employees and contractors.
• Work closely with the Managed IT Service Provider on equipment orders and operations’ IT needs and issues.
• Review and correct weekly and bi-weekly timesheets for Operations employees and Contract employees operations department, contract employees and submit to Operations Director for approval.
• Assist with scheduling employee and contractor drug and alcohol screenings- pre-employment and random pools, employee mandatory safety trainings (HASC, ISNetworld) and assist with HSE reporting.
• Update internal resumes for TA’s and Engineers quarterly based on projects assigned and worked.
• Update purchase order excel log, project expense log and rental equipment log.
• Assist with express mailing through DHL and Fed Ex when needed.
• Answer phone, order office supplies needed on a weekly basis.
• Stock conference rooms and kitchen as needed or instructed.
• Performs other duties as assigned.

To be successful in this role, qualifications include:

• Bachelor’s degree preferred.
• Three years MS Office experience – Intermediate MS Excel and Word
• Experience working with ADP and Quickbooks
• Experience working with SAP Concur preferred
• Experience working with MS Project
• Must have a high standard of integrity.
